Position Status: Part-time, contract position; 6 month contract with possibility to extend

Position Description
The Communications & Admin Associate (CAA) will take a lead role in drafting, maintaining, and disseminating digital communications to stakeholders across multiple platforms. They will ensure delivery of timely, consistent, and transparent information including public meeting minutes, agendas, and opportunities to engage at the City, County, and State levels. The CAA will work with staff and board members to increase the effectiveness of our engagement efforts through accurate and strategic database, social media, and website management. They will also support sound internal operations by managing our accounts payable process and carrying out on-site administrative work.

Position Responsibilities
Social Media Management -- 10-20% (2-4 hrs)
- Manage social media accounts with consistency and creativity to promote internal and external neighborhood opportunities, news, Whittier businesses/nonprofits, and community resources
- Assist in developing communications plans for events and programming; lead implementation
- Create and manage social media advertisements based on specific project goals and budget
- Integrate regular blog posts into communications calendar to effectively communicate WA’s work in the community and generate different types of support
- Draft copy and schedule bi-monthly e-newsletters and regular targeted emails to stakeholders
- Resume implementation of Salesforce platform, managing the integration of data and targeted messaging strategy; lead trainings to ensure staff buy-in and effective use
- Ensure digital database is an accurate reflection of WA’s constituency and an impactul means of communicating/organizing
- Integrate volunteer engagement structure with Salesforce processes to streamline work
- Regularly track/update our registered voter lists for committee and full membership meetings
- Manage weekly accounts payable processes and support general financial maintenance
- Attend WA’s public meetings to take minutes; edit minutes and disseminate (typically 3-4 evenings per month)
- Take the lead on office space reorganization process, digitization needs, & file management
- Monitor and order office supplies as needed
- Design flyers, direct mail pieces, and other outreach materials as needed (Canva)
- Troubleshoot various IT and tech-related issues; communicate with vendors to resolve
- Other miscellaneous duties that may occasionally arise in a small team environment
- Serve as the primary website content manager using the Weebly platform; regularly review and update all pages to ensure content is relevant and up-to-date
- Regularly research and share local legislative and planning topics and opportunities relevant to Whittier, including details for how to engage on them
- Continue researching and activating web platform features to ensure an effective experience
Minimum Qualifications
Successful candidates for this position will possess:
- Minimum of 1-2 years of previous office administration experience, a nonprofit setting is preferred
- Previous experience with managing social media accounts on behalf of an organization, including content and advertising strategy
- Proficiency with G-Suite applications including Gmail and Google Docs, Sheets, Forms
- An understanding of CRM systems, data management principles, and email platforms (Salesforce, Mailchimp)
- Experience with targeted email marketing strategy and implementation
- Proficiency with basic graphic design principles (Canva)
- Excellent interpersonal and written communications skills
- Strong problem solving skills and an outstanding attention to detail
- An ability to learn quickly and complete assigned work independently and reliably
- An ability and willingness to adapt on the fly in a dynamic, small team environment
- A high level of professionalism including the ability to perform duties in a neutral, non-partisan manner
- The ability to maintain a flexible work schedule including some evenings and occasional weekends
- An appetite for ongoing cultural competence development in order to successfully serve the racially- and culturally-diverse community members who live and work in Whittier
- Access to a reliable personal laptop and tools necessary to complete this work
Preferred Qualifications:
- Previous experience in basic web development and/or web content management
- Experience with SalesForce, Canva, and/or Weebly software systems
- Familiarity with the Whittier Neighborhood
